Cancellation Policy

Frost Byte subscriptions operate on a month-to-month basis unless a different arrangement has been clearly agreed in writing.

Cancel whenever you need to

There is no standard long-term commitment and no standard cancellation fee.

You may cancel your subscription at any time without providing a reason.

Nothing in this policy limits a cancellation right that cannot lawfully be excluded.

1. How to cancel

You may cancel using any cancellation method currently made available by Frost Byte, including:

  • Emailing Frost Byte
  • Submitting an online cancellation form
  • Cancelling through your customer account, where available

Please use the subject line “Cancel My Subscription” and include:

  • Your full name
  • Your business name
  • Your account email
  • Your website address
  • Your current subscription tier
  • Your preferred cancellation date

You do not need to explain why you are cancelling.

2. When cancellation takes effect

A cancellation request received before your next monthly payment is processed will normally stop the next renewal.

After cancellation:

After the next payment date

  • No further monthly renewal should be collected
  • Your current subscription normally remains active until the end of the paid billing period
  • Your included services remain available until that date
  • No new billing period will begin

A request received after the next payment has already been processed will normally apply to the following renewal.

Refund requests relating to an incorrect post-cancellation payment will be handled under the Refund Policy.

3. Current billing period

Cancelling your subscription does not normally end the current paid period immediately.

Your website and included services will generally continue until the end of that billing period.

Refund exceptions

The remaining days in a current billing period are generally not refunded on a partial or pro-rata basis.

This does not affect any refund or cancellation right required by law.

4. What happens when the subscription ends

At the end of the paid billing period:

  • Website updates will stop
  • Maintenance will stop
  • Technical support will stop
  • Active add-ons will end
  • Analytics reports may stop
  • Managed integrations may be disconnected
  • Frost Byte-managed hosting may end
  • The website may be taken offline

Taking a website offline

Where reasonably possible, Frost Byte will provide notice before taking an existing live website offline.

Immediate suspension may be required where there is fraud, illegal activity or a serious security threat.

5. Hosting after cancellation

If hosting is included as part of your Frost Byte subscription, hosting is only provided while the subscription remains active.

After cancellation, you may need to:

Transfers and handovers

  • Move the website to another provider
  • Arrange a separate hosting service
  • Request an available content export
  • Purchase an agreed website handover
  • Provide access to your chosen replacement provider

A transfer or handover is included only where stated in your subscription tier or separately agreed in writing.

Frost Byte does not guarantee that every internal system, deployment configuration or third-party service can be transferred.

6. Website ownership and handover

You retain ownership of the content and brand assets you supplied.

This includes your:

  • Logo
  • Written content
  • Original images
  • Product information
  • Videos
  • Existing brand materials

Frost Byte retains ownership of its reusable components, internal systems, processes and pre-existing development tools.

Unless otherwise agreed in writing:

  • Source code is not automatically transferred
  • Working design files are not automatically transferred
  • Frost Byte’s reusable systems are not transferred
  • Third-party licences are not transferred
  • The right to use the hosted website ends when the subscription and hosting end

A separate handover, export or permanent licence may be available depending on the selected tier and technical structure of the website.

Any handover terms and costs must be confirmed in writing.

7. Requesting your content

Before your subscription ends, you may request an available export of client-owned content.

The available export will depend on:

Availability and retention

  • The website platform
  • Your selected tier
  • The type of content
  • Third-party restrictions
  • The technical structure of the website
  • Whether all outstanding invoices have been paid

Frost Byte does not guarantee indefinite storage of cancelled website files or backups.

You should request any available export before the final subscription date.

8. Cancelling before launch

Because Frost Byte does not normally charge an upfront design fee, you may decide not to continue before the website is approved and launched.

In that case:

What happens to unfinished work

  • The monthly subscription will not normally begin
  • The website will not be launched
  • Frost Byte will stop working on the project
  • Unpublished design and development work will not be transferred
  • Approved third-party expenses may remain payable

Frost Byte may archive or delete an abandoned pre-launch project after a reasonable period.

9. Changing your subscription instead of cancelling

You may request to:

  • Downgrade to a lower tier
  • Remove an add-on
  • Pause non-essential work
  • Reduce the scope of your service

Effects of a plan change

Not every service can be removed without affecting the website.

Frost Byte will explain any effect on hosting, functionality or support before applying a change.

Plan changes may take effect immediately or from the next billing period.

10. Outstanding payments

Cancelling does not remove amounts that were already due before the cancellation became effective.

Outstanding charges may include:

What remains payable

  • A monthly subscription already processed
  • Approved add-ons already supplied
  • Approved third-party costs
  • Separate work already completed
  • Other charges agreed in writing

Frost Byte may withhold a handover or transfer until outstanding amounts have been paid, where legally permitted.

11. Cancellation or suspension by Frost Byte

Frost Byte may suspend or cancel a subscription because of:

  • Continued non-payment
  • Fraud
  • Illegal website activity
  • Serious security risks
  • A material breach of the Terms of Service
  • Abuse of Frost Byte staff or contractors
  • Client conduct that makes service delivery reasonably impossible

Notice and immediate action

Where practical, Frost Byte will provide written notice and a reasonable opportunity to resolve the issue.

Immediate action may be taken where necessary to prevent fraud, harm, unlawful activity or a security compromise.

12. Data retained after cancellation

Frost Byte may retain certain information after cancellation where reasonably required for:

  • Billing records
  • Tax records
  • Accounting
  • Fraud prevention
  • Security
  • Disputes
  • Legal obligations

Other personal information will be handled in accordance with the Privacy Policy.

13. Reactivating a subscription

A cancelled subscription may be reactivated subject to:

  • Frost Byte’s availability
  • Current subscription pricing
  • Payment of outstanding amounts
  • The availability of previous project files
  • The availability of backups
  • New hosting or setup work
  • Changes to third-party platforms

Reactivation may require a new project timeline or setup charge where significant work is needed.
